Order Desk Coordinator
Position Summary:
The Order Desk Coordinator plays a vital role in facilitating seamless communication between the UK-based Key Account Manager (KAM), Production, Planning, and Supply Chain teams. This position is responsible for the meticulous management of orders from initial receipt to final invoicing, including the provision of timely feedback on delivery dates. Through effective coordination with various departments, the Order Desk Coordinator ensures precise order processing, punctual invoicing, and adherence to delivery schedules, thereby contributing significantly to a streamlined export process.
Key Responsibilities:
1. Order Processing:
Receive, review, and process orders from the KAM with meticulous attention to detail, ensuring completeness and accuracy before inputting them into our in-house systems.
Collaborate closely with the Brake Caliper Product Manager, Production, and Planning teams to assess the feasibility of order fulfilment based on current production schedules and resource availability.
2. Delivery Date Coordination:
Provide prompt feedback to the KAM regarding delivery dates, following consultations with the Planning, Production teams, and Brake Caliper Product Manager.
Regularly update the KAM and other stakeholders on order status, including any potential changes to delivery dates.
3. Export Documentation:
Work in collaboration with the Production and Supply Chain departments to prepare export documentation when products are ready for shipment.
Ensure the accurate and timely preparation of export documentation to facilitate invoicing and streamline customs clearance.
4. Communication:
Act as the primary liaison between the KAM and internal teams concerning order status, delivery dates, and export documentation.
Address inquiries or issues related to orders, delivery dates, and export documentation promptly and professionally.
5. Invoicing:
Collaborate closely with the Finance department to ensure the accurate and punctual generation of invoices based on the prepared export slips.
Resolve any discrepancies in invoicing documents in coordination with the Finance department.
6. Continuous Improvement:
Identify and propose process improvements to enhance the efficiency and accuracy of order management, delivery date coordination, and export documentation procedures.
Participate in cross-functional meetings to discuss and resolve challenges related to order processing and export documentation.
7. Reporting:
Prepare and present regular reports to senior management on order status, delivery dates, export documentation, and invoicing.
Maintain accurate records and uphold data integrity in all order management, delivery date coordination, and export documentation processes.
Qualifications:
Bachelor’s degree in Business Administration, Supply Chain Management, or a related field.
A minimum of 3 years of experience in order management, export documentation, or a related role within the automotive or manufacturing industry.
Exceptional organizational, communication, and multitasking skills.
Detail-oriented with a strong emphasis on accuracy and timeliness.
Proficiency in Microsoft Office Suite and any relevant order management software.
Knowledge of export regulations and documentation is a plus.
