Ensure the smooth running of daily activities and tasks of the MD, and coordination all necessary with the Team members and partners.

Your responsibilities include scheduling meetings and appointments for MD, follow-up marketing activities and correspondences with customers.

Exigences de l'emploi

Stream 1: Travel and meeting organization

  • Prepare and organize the MD trip schedule, including all trip details (visa preparation, flight ticket, transfer, hotel reservation etc.), in coordination with travel agencies,
  • Schedule meetings and appointments for the Managing Director with customers, in Europe, Africa, Middle East, etc.,
  • Complete Handling outlook of MD: Manage and coordination his daily Agenda
  • Manage customer contacts using Outlook to conduct up-to-date database entry
  • Preparation meeting documents (PowerPoints, excel sheets, etc.)

Stream 2: Assistance Sales activities / Communications (emails, etc)

  • Handling mail correspondences with customers on top level
  • Active follow-up with customers and set-up meetings for the Managing Director
  • Communication with customers and handling of new inquiries (submit brochures, ppt, proposals, etc. to customers)
  • Coordination with technical Team URS, budget quotes, layouts
  • Follow-up with customers about proposal
  • Coordination visit of customers at Headquarter with Sales Team
  • Set-up conference calls for project follow-ups with customers
  • Preparation minutes of meetings, visit reports
  • Coordination with local project team, headquarter and reporting to MD
  • Leads generation, monitoring and reporting about project list
  • Coordination with Administration & Financial person
  • Coordination with After Service department

Steam 3: Assistance Marketing activities

  • Planification local marketing activities in our territories
  • Coordination with Headquarter and preparation exhibition in different countries (preparation action plan, coordination booth with responsible marketing team , brochures, samples, etc.)
  • Participation on same exhibition
  • Preparation of visit reports, follow-up activities after exhibitions with different departments, technical experts

Steam 4: General activities

  • Prepare and track trip expenses of MD, coordination with Administration person
  • Provide general support to visitors (meeting preparation, drinks, lunches, etc.)
  • Assist in the onboarding process for new hires
  • Preparation and coordination internal meeting with team members
  • Archiving and organizing data (hard and electronic copies)
  • Maintain the MD office condition and coordinate necessary internally
